Volunteer scheduling and sign-up sheets
Post the slots, let parishioners claim them, and stop running the roster out of a clipboard and a group email.
Sign-up sheets that fill themselves
- Create an event and open volunteer slots against it
- Parishioners claim a slot themselves — bring a dish, help set up, read
- Ministry rosters with roles, so you know who serves where
- RSVP tracking, so you know numbers before the day
- Attendance check-in, so you know who actually came
- Reminders by email or SMS to everyone signed up
Ministries as an ongoing thing
A one-off sign-up sheet and a standing ministry roster are different problems. Bellringer handles both: slots for a specific event, and ministry membership with roles that persists between events.
Parishioners can join a ministry or group on their own by texting a keyword or following a join link, which takes the enrollment work off the office entirely.
The problem with the clipboard
A sign-up sheet at the back of the church collects names from whoever happened to walk past it, and nobody else can see what is still open. The coordinator ends up retyping it into a spreadsheet, then chasing people individually, then discovering on the morning that two of the four slots were never filled.
Putting the sheet online fixes the visibility problem first: parishioners see which slots are still open, and the coordinator sees the same thing without transcribing anything.
Reminders are the part that matters
Most volunteer no-shows are not people changing their minds. They are people who signed up three weeks ago and forgot. Because sign-ups are attached to parishioner records with real contact details, a reminder to everyone on the roster is one action rather than a morning of individual texts.
Attendance check-in afterwards closes the loop, so the coordinator knows across a season who reliably turns up — useful when it is time to ask someone to take on more.
Common questions
Can parishioners sign up without an account?
Yes. Group join links and sign-up flows are reachable without a staff login.
Can we track attendance as well as sign-ups?
Yes. Events support attendance check-in, and weekly attendance can be logged for things like religious education and RCIA.
